What is a VICS bill of lading?
The VICS bill of lading is the retail industry's standard shipping document, published by the Voluntary Interindustry Commerce Solutions Association so that retailers, carriers, and suppliers could move freight on one shared paperwork format instead of hundreds of house forms. If you ship into retail distribution centers, their routing guides very likely name it.
Underneath, it is still a straight (non-negotiable) BOL: the carrier's receipt, the contract of carriage, and the instruction to deliver to one named consignee. What VICS adds is a fixed layout and a GS1-based identification system — a 17-digit shipment identification number encoded as a GS1-128 barcode, plus SID/CID location identifiers — so a receiving dock can scan your freight off the trailer and match it to the advance ship notice without retyping a thing.

The 17-digit shipment ID, step by step
The heart of the VICS form is one number: a 17-digit GS1 shipment identification number (GSIN) that uniquely names this load worldwide. Here is exactly how DockBOL builds it:

Start with your GS1 Company Prefix
The 6–12 digit prefix licensed to your company by GS1 US (or your national GS1 member organization). It is what makes every number you build globally unique — it must be yours.

Add your shipper-assigned reference
Digits only, and you choose them — most shippers simply count up per shipment. Prefix + reference must total exactly 16 digits, so a longer prefix leaves fewer reference digits. DockBOL shows the remaining capacity as you type and never pads or truncates to force a fit.

DockBOL computes the 17th digit
The final digit is a GS1 Mod-10 check digit: from the rightmost digit of the 16-digit base, multiply alternately by 3 and 1, sum, and take the distance to the next multiple of 10. Scanners re-run the same math to catch misreads and typos.

The finished 17-digit number appears in the document header in grouped, human-readable form and inside the GS1-128 barcode with Application Identifier (402) — ready for the receiver's scan gun.

GS1-128 and AI (402), in plain English
A barcode is just data a machine can read. GS1-128 is a dialect of the common Code 128 symbology that opens with a special marker (FNC1) announcing “GS1-formatted data follows,” then labels each piece of data with an Application Identifier — a short number, conventionally written in parentheses, that says what the next digits mean.
AI (402) means “a 17-digit shipment identification number follows.” So the data stream inside the barcode is 402 + your 17 digits — the AI itself is never part of the number, which is why the human-readable line under the bars shows the digits grouped without it. When the DC's scan gun reads AI (402), its system knows it has captured the shipment ID and can match the freight to the right ASN or purchase order automatically.
DockBOL draws the barcode as true vector GS1-128 with the quiet zones scanners require — no fonts, no stretched images — and prints the carrier's PRO number as a separate ordinary Code 128 barcode, since a PRO is the carrier's identifier, not a GS1 shipment ID.
What you need before you start
One thing on this form cannot be invented by software: your own GS1 Company Prefix, licensed to your company from GS1 US or your national GS1 member organization. The prefix is what makes the shipment IDs you build globally unique. If you already ship to retail DCs, your company almost certainly has one — ask whoever manages EDI or your GS1-128 carton labels.
What DockBOL does — and does not — certify

- DockBOL does not issue GS1 Company Prefixes, verify that a prefix is registered to your company, or check it against any GS1 registry.

Don't know your NMFC item or freight class? Leave it blank and confirm it against the current NMFC (NMFTA ClassIT) or with your carrier before tendering — a guessed class is how reweigh-and-reclass invoices happen. What is a VICS bill of lading?

How is the 17-digit VICS number built?
Three parts. Your GS1 Company Prefix (6–12 digits), then a shipper-assigned reference you choose, with the two totaling exactly 16 digits. The 17th digit is a GS1 Mod-10 check digit computed from that 16-digit base. DockBOL counts the remaining capacity as you type, computes the check digit automatically, and refuses to silently pad or truncate — a wrong-length number would fail at the receiver's scanner. What does AI (402) mean in the barcode?

Do I need my own GS1 Company Prefix?
Yes — the prefix must be licensed to your company from GS1 US or your national GS1 member organization. That licensing is the entire point of the system: it is what keeps your shipment IDs from colliding with every other shipper's. DockBOL cannot issue a prefix and does not verify that the one you type is registered to you. If you already ship to retail DCs, your company almost certainly has one — it usually lives with whoever owns EDI or your GS1-128 carton labels.
Is DockBOL GS1-certified or VICS-certified?
No — and be skeptical of any document tool that claims to be. DockBOL is standards-aware document-preparation software: it implements the published identifier math (the GS1 Mod-10 check digit) and the GS1-128 symbology with AI (402), and lays the document out the way VICS-style forms are commonly organized. It does not certify GS1 ownership, validate your prefix registration, or guarantee acceptance by any receiver. Your customer's routing guide and your own compliance process remain the authority.
What's the difference between the VICS number and the PRO number?
Who assigns it. The 17-digit VICS shipment ID is yours — the shipper's identifier for the load, built before pickup and matched against the ASN. The PRO number is the carrier's tracking number, assigned by the carrier, often at pickup. Both belong on the document, so DockBOL prints each with its own barcode: GS1-128 (AI 402) for the shipment ID, ordinary Code 128 for the PRO.
Can I use this VICS BOL for an interstate household-goods move?
No. DockBOL’s standard VICS BOL generator is not for interstate household-goods moves for individual shippers. It does not provide the separate household-goods carrier workflow required by 49 CFR Part 375.
